Vehicle Hire FAQ's

We need to see all of the following documentation at the time of hire:

Driving licence

A current full driving licence must be produced by all hirers at the commencement of each and every hire. Hirers with a photo card driving licence must also produce a DVLA check code. This code enables us to view your driving record for insurance purposes. You can produce your code and find further information here:- www.gov.uk/view-driving-licence Please note your unique code is valid for 21 Days or one use. If you do not have your code at time of rental, we regret we would not be able to hire to you.

• You must be between the ages of 21 - 70 years for small cars, 25 - 75 years for medium and large cars, 23 – 75 years for vans, 25 - 70 years for trucks and 30 -70 years for minibuses, a regular driver and in good health.
• You must have the appropriate driving licence category for the vehicle you wish to hire. These are category B for cars up to 8 passenger seats and vans up to 3.5 tonnes GVW. Category D1 for Minibuses up to 16 passenger seats. Category C1 for trucks between 3501kg and 7500kg GVW.
• Visiting non resident Drivers with foreign driving licences must present their own national license plus an International Driving Licence.
• Foreign residents in the U.K. may hire on their non-U.K driving licenses, but must have been resident in the UK for a minimum of 3 years. A Passport is required for proof of entry date.
• Hirers aged between 21 and 23 must have held a driving licence for 2 years and have no endorsements. An additional young driver fee and supplementary excess applies subject to terms and group restrictions.
• Hirers aged between 23 and 25 must have held their driving licence for 2 years and endorsed licences will be individually considered. An additional young driver fee and supplementary excess applies subject to terms and group restrictions.
• Hirers aged 25 and over must have held their licence for 1 year and endorsed licences will be individually considered.
   

Two forms of identification.

These must be recent (no more than two months old)  utility bills, bank or building society statements showing your current address. A passport is not acceptable as it does not contain your address.

You will be asked to pay for your rental charge plus a refundable deposit which will be taken at the time of hire. Please make sure there is enough credit available on your card. All outstanding payments will be taken from the nominated card. In all cases, a £500.00 refundable deposit is required in addition to the hire charge. For 7.5 Tonne vehicles and Minibuses the deposit is £750.00. Cash / Cheque payments and deposits cannot be accepted under any circumstances. The credit / debit card used for the deposit must be that of the hirer who signs and agrees to the terms of the rental agreement.

PLEASE NOTE: WE CANNOT NOT ACCEPT CONTACTLESS OR APPLE PAY PAYMENTS. THE CARD MUST BE PRESENT IN OUR OFFICE AT TIME OF HIRE

Unless customers own insurance is supplied with prior arrangement and approval, the Hirer is fully covered on insurance provided by Gallagher Car & Van Rentals Limited. The Hirer is fully covered on insurance. The standard excess on all size vans is £500.00 although this figure can alter depending on the age of the driver, the type of vehicle hired, endorsements, previous accidents and driving experience. All MPV , mini buses and 7.5 tonne trucks are £750.00. Overhead damage, damage to tyres, windscreens, wheel trims and upholstery are not covered by the damage waiver, the hirer being liable for the full cost of repair. Collision damage waiver is not available to those customers who opt to use their own insurance. Please note: WE CANNOT INSURE COURIERS OR CUSTOMERS ENGAGED IN MULTIDROP DELIVERIES. 

Additional drivers can be insured for a daily charge of £10.00. Full driving licence and identification as above are required. 

Whilst every effort will be made to supply the model requested, in the event of it being unavailable, an alternative model will be provided.

Our offices are open 08:00hrs to 17:00hrs Monday - Friday, 08.00hrs to 12.00hrs Saturday and 0830hrs to 0930hrs Sunday. Our offices are closed Public Holidays and Bank Holidays. The hire period is 24 hour period from either 08.00 or 17.00. Rental times may be adjusted to suit individual hirers' requirements subject to vehicle availability.

The mileage on your vehicle is logged at the start and at the end of each hire. We allow 200 miles travel per day (up to a maximum of 2800 miles over 28 days). Additional mileage is charged at 17p (plus VAT) per mile thereafter and is payable on collection of your vehicle. All inclusive mileage packages are available on request at time of booking, please ask for details.

Deposits will be refunded upon return of the vehicle subject to the vehicle being returned in a satisfactory condition and full of fuel. (see fuel section) If vehicles are dropped off out of hours, it is the customers responsibility to contact the office to have their refund effected.

If you wish to extend your hire, arrangements must be made prior to expiry of the current agreement and an additional payment made to enable the insurance cover to be extended.

Vehicles must be returned to the office from which they were rented. Vehicles may be returned out of hours by prior arrangement with us, but will remain the responsibility of the hirer until the office next opens.

The Hirer is responsible for checking water, oil levels, Adblue and tyre pressures daily.

In the unlikely event of a breakdown or accident all our vehicles are covered by Roadside Recovery and Home Start services. Your first point of contact must always be TTS360 Tel: 0333 207 9654 and always quote the  vehicle registration number. We are contactable via our office number 24hours a day if you do require our assistance. Tel: 01473 745556.

Your rental vehicle will be supplied with a full tank of fuel. If this is any different on collection you should inform a member of our rental staff who will fill your vehicle for you. We will note on the pre-rental check form and rental agreement, the reading of the fuel gauge. We recommend you fill you hire vehicle before you return and keep the receipt. If however you have not fuelled you rental vehicle on return, we will fill it and charge you our price for our refuelling service. This will be deducted from your deposit.

You may drive our vehicles using you own company's fleet insurance cover, provided we have approved this in advance and a copy of the insurance certifcate provided. In this event, only the restrictions of your own insurance will apply.  in the event of an accident when self insuring you are liable for any loss of earnings to the vehicle whilst repairs are carried out.

Business users of vehicles in excess of 3.5 Tonnes GVW will require a Goods Vehicle Operators Licence. Drivers will require a Digital Tachograph and driver C.P.C. cards.
