We need to see all of the following documentation at the time of hire:
A current full driving licence must be produced by all hirers at the commencement of each and every hire. Hirers with a photo card driving licence must also produce a DVLA check code. This code enables us to view your driving record for insurance purposes. You can produce your code and find further information here:- www.gov.uk/view-driving-licence Please note your unique code is valid for 21 Days or one use. If you do not have your code at time of rental, DVLA checks can be done subject to us being able to contact the DVLA. The charge for this is £5.00
These must be recent (no more than two months old) utility bills, bank or building society statements showing your current address. A passport is not acceptable as it does not contain your address.
You will be asked to pay for your rental charge plus a refundable deposit which will be taken at the time of hire. Please make sure there is enough credit available on your card. All outstanding payments will be taken from the nominated card. In all cases, a £250.00 refundable deposit is required in addition to the hire charge. For 7.5 Tonne vehicles and Minibuses the deposit is £500. Cash / Cheque deposits cannot be accepted under any circumstances although the rental can be paid in cash. The credit / debit card used for the deposit must be that of the hirer who signs and agrees to the terms of the rental agreement.
Unless customers own insurance is supplied with prior arrangement and approval, the Hirer is fully covered on insurance provided by Gallagher Car & Van Rentals Limited. The Hirer is fully covered on insurance. The standard excess is £250.00 although this figure can alter depending on the age of the driver, the type of vehicle hired, endorsements, previous accidents and driving experience. Overhead damage, damage to tyres, windscreens, wheel trims and upholstery are not covered by the damage waiver, the hirer being liable for the full cost of repair. Collision damage waiver is not available to those customers who opt to use their own insurance.
Additional drivers can be insured for a very small daily charge. Full driving licence and identification as above are required.
Whilst every effort will be made to supply the model requested, in the event of it being unavailable, an alternative model will be provided.
Our offices are open 08:00hrs to 18:00hrs Monday - Friday, 08.00hrs to 12.00hrs & 14.00hrs to 18.00hrs on Saturday and 08.30 to 10.00hrs on Sunday. Our offices are closed Public Holidays and Bank Holidays. The hire period is 24 hour period from either 08.00 or 17.00. Rental times may be adjusted to suit individual hirers' requirements subject to vehicle availability.
The mileage on your vehicle is logged at the start and at the end of each hire. We allow 200 miles travel per day (up to a maximum of 2800 miles over 28 days). Additional mileage is charged at 8p (plus VAT) per mile thereafter and is payable on collection of your vehicle. All inclusive mileage packages are available on request at time of booking, please ask for details.
Deposits will be refunded upon return of the vehicle subject to the vehicle being returned in a satisfactory condition and full of fuel. (see fuel section) If vehicles are dropped off out of hours, it is the customers responsibility to contact the office to have their refund effected.
If you wish to extend your hire, arrangements must be made prior to expiry of the current agreement and an additional payment made to enable the insurance cover to be extended.
Vehicles must be returned to the office from which they were rented. Vehicles may be returned out of hours by prior arrangement with us, but will remain the responsibility of the hirer until the office next opens.
The Hirer is responsible for checking water, oil levels and tyre pressures daily.
In the unlikely event of a breakdown or accident all vehicles are covered by Roadside Recovery and Home Start services. Your first point of contact must always be Gallagher Car & Van Rentals Limited. We are contactable via our office telephone number (01473 745556) 24 hours a day and we will organise the quickest solution for you.
Your rental vehicle will be supplied with a full tank of fuel. If this is any different on collection you should inform a member of our rental staff who will fill your vehicle for you. We will note on the pre-rental check form and rental agreement, the reading of the fuel gauge. We recommend you fill you hire vehicle before you return and keep the receipt. If however you have not fuelled you rental vehicle on return, we will fill it and charge you our price for our refuelling service. This will be deducted from your deposit.
We specialise in continental travel. With prior approval our vehicles may be taken abroad, although there are restrictions regarding taking them into some countries. A surcharge will apply when taking a vehicle outside the U.K. Extra charges will be made to provide a Green Card and form VE103.
All vehicles approved for continental hire will be fully prepared and equipped prior to your collection. This includes the supply of:- Fire extinguishers, fluorescent jackets, first aid kit, warning triangles, breathalyser kit and all relevant paperwork. We also offer the hire of snow chains as and when required.
Please note: When taking a Minibus overseas the driver must be equipped with a driver's digital tachograph card. These are used to record driver's hours and are available from the Department of Transport at your own cost. Please ask a member of our rental team for more information.
You may drive our vehicles using you own company's fleet insurance cover, provided we have approved this in advance. In this event, only the restrictions of your own insurance will apply. It may be worth noting that you will attract cheaper rates when providing your own insurance. Ask our rental staff for details.
